The rent

The rent call goes out before the date, not after.

Most late rents are not arrears: they are oversights. A reminder sent five days before the due date makes them disappear, and leaves in the “late” column only the cases that really deserve your attention.

Telling an oversight from non-payment changes everything that follows.

A landlord who discovers a late payment on day 10 of the month does not know what they are dealing with: a transfer forgotten during the holidays, a change of bank, or the start of a lasting difficulty. So they react the same way to all three — often by waiting, sometimes by sending too harsh a letter. The rent notice removes the first category: when a friendly reminder went out before the date and nothing has arrived, the silence becomes information. The reminder that follows is no longer a risk to the relationship; it is a step. Let us say it straight away: nothing obliges you to send a rent notice. It is a prevention tool, not a formality.

  • Sent automatically before the date, at the notice you set
  • Five days by default — and the automation is on by default
  • It is not legally required of anyone: it is a choice of method
  • The amount comes from the payment schedule, never from re-entry

In practice.

  1. You set the interval once

Five days before the due date by default. Some landlords prefer ten, others two: the setting is global and applies to all your tenancies, because a different notice per unit is a setting nobody maintains.

  2. Pilot looks at upcoming deadlines every morning

A daily run identifies the instalments whose due date falls within the chosen window and which have not yet been settled. An instalment already received obviously triggers no reminder.

  3. The notice goes to the tenant

With the period concerned, the rent excluding charges, the advance payments, the total and the due date. The amounts come from the tenancy’s payment schedule: so they are consistent, by construction, with the receipt that follows.

  4. What comes next is already in place

If the rent comes in, you confirm the payment and the rent receipt goes out. If it does not, the daily check moves the instalment to late, then to unpaid — and the graduated reminders take over, if you have armed them.

What it changes

The “late” column now contains only genuine lateness

It is the real benefit, and it is indirect: by removing good-faith oversights, the rent notice makes your dashboard informative. A dashboard where everyone is late on the 3 of the month teaches you nothing.

The reminder is neutral, the chaser is not

A rent notice is a management document; a reminder is a letter that calls someone to account. Sending them in that order preserves the relationship with a tenant who has paid well for three years and has simply forgotten.

No re-entry, so no discrepancy

The notice, the receipt and any formal demand all read the same payment schedule. An amount announced in the notice and contradicted by the receipt is the kind of inconsistency that loses trust — and, on arrears, the benefit of a letter.

The law, and the pitfalls

Rent is payable on the dates agreed in the contract. No provision requires the landlord to send a rent call before the due date.

art. 7 a) of Law No. 89-462 of 6 July 1989; art. 1728 of the French Civil Code

The absence of a rent notice therefore does not make the rent any less payable, and a tenant cannot rely on it to justify late payment. The value of the notice is practical, not legal — and confusing the two leads you to believe you are protected because you sent a piece of paper.

It is the rent receipt, not the rent notice, that is owed to the tenant: the landlord must provide it free of charge on request.

art. 21 of Law No. 89-462

Some tools present the rent notice as an obligation and the receipt as an option. It is exactly the reverse. A landlord who sends impeccable rent calls and refuses to issue receipts is at fault on the only one of the two documents that binds them.

The landlord may not impose direct debit on the tenant as the only method of paying the rent.

art. 4 of Law No. 89-462 (clauses deemed unwritten)

A clause in the tenancy agreement imposing it would be deemed unwritten. That is also why a rent notice remains useful: for rent paid by a transfer the tenant initiates, the reminder is the only prevention lever you have.

What Pilot refuses to do

  • We do not present the rent notice as an obligation

It is not one. Selling it as such would be an easy commercial argument, and it would turn a prevention tool into false compliance.

art. 21 of the Law of 6 July 1989 — the rent receipt, on the other hand, is owed

  • We do not send a notice for an instalment already paid

A reminder to pay what has already been paid makes the tenant doubt the reliability of your entire management — including your rent receipts.

Frequently asked questions

Is the rent notice compulsory?

No. No legislation requires it of the landlord: rent is payable on the agreed dates, notice or not. What is owed is the rent receipt, at the tenant’s request and free of charge. The rent notice is a prevention tool, and we prefer to say so clearly.

Which interval should I choose?

Five days by default. That is enough for a transfer to leave in time, and short enough for the reminder to stay linked to the due date in the tenant’s mind. You can adjust it; the setting is global.

Is it on by default?

Yes, unlike arrears reminders, which are switched off by default. The difference is deliberate: a rent notice is neutral, a reminder is a letter that calls someone to account — that one is yours to arm.

Does the tenant also receive the receipt through the same channel?

Yes, by email, and they find it in their space with no account to create. The notice announces, the rent receipt certifies: both amounts come from the same payment schedule, so they cannot contradict each other.
