The rent

The letter is ready and filed. You are the one who posts it.

Nine pre-filled letters, amounts rebuilt from the payment schedule, archived in the tenancy file. What Pilot does not do is post them — and we would rather write that in black and white than let you find out on the day of a formal demand.

No commercial contract yet links us to a postal operator, and the code refuses to send unconditionally rather than appear to work. We do not promise automatic sending until it exists.

For a notice to quit or a formal demand, it is the service that counts, not the content.

A perfectly drafted letter that is never served in the proper form produces no legal effect. The notice period does not start, the deadline in the formal demand does not begin, and the landlord believes they have acted. That is why we separate the two jobs: Pilot guarantees the letter — the mandatory statements, the amounts, the dates, the record — and you guarantee the delivery, through the channel the law requires for that act. Promising a sending we cannot carry out would amount to selling you the riskiest part of the process without bearing any of its consequences.

  • The letter is generated from the tenancy data, never from a blank page
  • Amounts are rebuilt instalment by instalment, not re-entered
  • It is archived in the tenancy file, dated, with the template it came from
  • Sending remains yours to do, and we charge nothing for not having done it

In practice.

  1. You choose the legal act, not a blank template

Reminder, formal demand, repayment plan, service charge reconciliation, return of the deposit, rent review, notice to quit for sale, for taking back the property or for a legitimate and serious reason. Each act has its own mandatory statements, and the difference between two notices to quit comes down to sentences whose absence is penalised.

  2. Pilot fills it in from the file

Identity and address of the landlord and the tenant, description of the property, tenancy references. On financial documents, the amounts are rebuilt from the actual payment schedule: accumulated arrears are not a sum you retype, they are the total of what the database has recorded.

  3. You review, then you generate the PDF

A preview is available before generation. The document produced is a PDF archived in the tenancy’s data room, next to the tenancy agreement itself and the inventory report.

  4. You post it, and you record the proof

Registered post with acknowledgement of receipt at the counter or online with the operator of your choice, or service by a commissaire de justice (bailiff) when the stakes justify it. The acknowledgement of receipt is then uploaded to the same file: the letter and its proof of delivery live in the same place.

What it changes

The legal risk lies in the mandatory statements, and it is handled

What brings down a notice to quit is almost never the delivery — it is a missing mandatory statement or a wrongly stated ground. That is precisely the part Pilot takes on, and it is the hardest to redo yourself.

The amount in a formal demand is not retyped

A false total in a formal demand gives the tenant grounds for dispute, and loses you the benefit of the letter. Rebuilding from the payment schedule removes re-entry, and therefore the typing mistake.

The record is made at the moment of the action

Every letter generated is dated and kept with the tenancy agreement. The day you need to produce the history — before a conciliation committee, a judge, a buyer — the timeline already exists and does not have to be rebuilt from memory.

The law, and the pitfalls

Notice given to the tenant must be served by registered letter with acknowledgement of receipt, by a judicial officer’s writ, or handed over in person against a receipt or signature.

art. 15 I of Law No. 89-462 of 6 July 1989

The notice period runs from RECEIPT, not from sending. A notice posted too late, or whose acknowledgement of receipt never came back, does not start the notice period — and a landlord who arranged a sale on that basis finds themselves with a tenant still in place.

Electronic registered mail is equivalent to paper registered post, but sending it to a NON-PROFESSIONAL recipient requires that they have expressly agreed to receive it in that form.

art. L. 100 of the French Post and Electronic Communications Code; Regulation (EU) No 910/2014 (eIDAS)

An individual tenant who has not given this consent is not a valid recipient of an electronic registered letter (LRE): the sending exists, the legal effect does not. That is why consent is collected from the TENANT, and before the act — not at the moment you need it.

Handing a letter to the postal service is not notification: it is its presentation to the recipient that produces the effects attached to receipt.

settled case law of the Cour de cassation (French Supreme Court)disputed point

“Deposited” and “received” are two different states, and a dashboard that confuses them makes you believe a notice to quit has been served when nothing has. Our model distinguishes the two, and will never display “served” on a mere deposit.

What Pilot refuses to do

  • We do not promise a sending we cannot carry out

No commercial contract links us to a postal operator, and the code refuses to send unconditionally rather than appear to work. A call never executed against the real service would be untested code that looks tested — the worst of both situations.

  • We will not display “notified” for a mere upload

The day sending exists, the status displayed will follow presentation to the recipient, not handover at the counter. Confusing the two offers false certainty at the exact moment it costs the most.

  • We will not have a notice to quit signed electronically

Its validity rests on how it is served, not on a signature. A “get the notice to quit signed” button would give the feeling of having acted, and the notice period would not start running.

Frequently asked questions

Can Pilot send my registered letters for me?

No, and it is not a temporary limitation in disguise: there is no contract with any postal operator, and the code refuses to send, unconditionally. Pilot drafts, fills in, generates and archives; you post.

Can I use an electronic registered letter?

Yes, on one condition: your tenant, if a private individual, must have expressly consented to receive registered letters in electronic form. Without that consent, the sending does not carry the value of a registered letter with acknowledgement of receipt (LRAR). Pilot collects and keeps this consent from the tenant, in their space.

What is the difference between “deposited” and “received”?

Posting is your action; receipt is the recipient’s, and it is receipt that starts the periods running. A notice posted on the 30 but presented on the 3 of the following month shifts the notice period by a whole month. We never mix the two states.

How many letters are provided?

Nine letters pre-filled from the tenancy data: reminder, formal demand, repayment plan, service charge reconciliation, return of the deposit, rent review, and three distinct notices to quit (sale, taking back the property, legitimate and serious reason). On top of these come templates to download and fill in yourself.

Why three different notices to quit and not a single template?

Because the mandatory statements differ, and their absence is penalised. A notice to quit for sale must reproduce the first five paragraphs of section II of article 15 and offer a right of first refusal; a notice to quit for taking back the property must name the beneficiary and your relationship to them. A single template would produce three fragile notices instead of one solid one.
